Booking deposit

A deposit may be required to reserve your event date and time. The deposit amount and due date will be confirmed in writing before your booking is finalized. Unless RobotsLA states otherwise in writing, the booking deposit is non-refundable if you cancel the event.

Cancellation by you

Cancellation requests must be submitted to RobotsLA in writing. The cancellation date is the date we receive your written request. Refund eligibility is based on the number of calendar days before the scheduled event:

• 14 or more days before the event: payments made are refundable, less any non-refundable booking deposit.
• 7–13 days before the event: 50% of the total booking amount is refundable.
• Fewer than 7 days before the event, same-day cancellation, or no-show: payments are non-refundable because the robot, operator, and event time have already been reserved.

Rescheduling

If you request a date change at least 7 days before the original event date, RobotsLA will allow one reschedule at no additional rescheduling fee, subject to robot and operator availability. The replacement date should be scheduled within 90 days of the original event whenever reasonably possible.

Requests made within 7 days of the event will be reviewed case by case. Changes in travel, venue, duration, event scope, or requested services may change the final price.

Outdoor events, weather & safe operating conditions

Humanoid robots require a safe operating environment. Outdoor bookings should have a suitable indoor or covered backup area. RobotsLA may pause, relocate, shorten, or decline operation when rain, wet or unstable surfaces, unsafe heat, crowd conditions, stairs, obstacles, or other conditions create an unreasonable risk to guests, staff, or equipment.

If unsafe conditions are caused by the venue or event setup and a safe alternative cannot be provided, the booking remains subject to the normal cancellation terms. When weather outside either party's control makes the event unsafe, we will work with you in good faith to reschedule the robot appearance.

Venue access & customer delays

The customer is responsible for obtaining venue permission and providing reasonable access, loading/entry time, and a safe performance area. If the performance starts late because the venue, customer, or event is not ready, the scheduled end time may remain unchanged. Time lost for reasons outside RobotsLA's control is not refundable.

Technical issues

Robots are sophisticated equipment and occasional technical interruptions can occur. If RobotsLA is unable to provide the booked appearance at all because of a robot or operator issue within our control, you may choose a full refund or an available replacement date. If a material technical issue prevents a substantial portion of the booked appearance, RobotsLA will provide an appropriate partial refund, credit, or rescheduled performance based on the portion of service that could not be delivered.

Cancellation by RobotsLA

If RobotsLA must cancel because of equipment failure, operator illness, or another circumstance that prevents us from providing the booked service, we will notify you as soon as reasonably possible. You may choose either a full refund of payments made for the canceled service or an available replacement date at no additional rescheduling charge.

Weather & force majeure

If the event is materially affected by circumstances beyond either party's reasonable control—such as extreme weather, natural disaster, emergency venue closure, government order, or similar events—RobotsLA will prioritize rescheduling to an available replacement date rather than automatic forfeiture of payment.

Refund processing

Approved refunds will be returned to the original payment method when practical. RobotsLA will submit approved refunds within 5–10 business days. Your bank or payment provider may require additional time before the funds appear in your account.
